When a report tells you it is incomplete

Every report has a ceiling on how many rows it will return. It is there so a screen can never hang the system by asking for everything at once, and on almost every report you will never come near it.

When a report does reach that ceiling, it now says so, in a red panel above the figures:

> This report is incomplete — it stopped at its 20,000 row limit. > Nothing after 5 August 2025 is included. Figures and totals below cover that period only.

Read that as a correctness warning, not a performance note. A report that stops early stops at the recent end, because reports are built oldest-first. Everything on screen is accurate for the period named — but the totals, the month tabs and the variance columns all cover that shorter period, and nothing about the layout looks unusual. Without the warning there is nothing to tell you that the last months are absent.

What to do when you see it:

  • Narrow the report. Pick a single financial year, period, store or day. The ceiling applies to what is returned, so a filtered report almost always fits.
  • Trust the figures only for the period named. Do not compare a capped report against a full one, and do not quote its totals as a year.
  • Tell us. A report that hits its ceiling in normal use is a report that needs rebuilding, not a report you should have to work around. Raise it from the help menu and we will look at it.

The warning appears on its own — you do not need to switch anything on, and it disappears the moment the report fits again.
